What to look for in a processor
ACH for large invoices, cards for convenience
For any invoice over $2,000–$3,000, ACH (bank-to-bank transfer) should be your default offer. The cost is roughly $0.25–$1.00 regardless of transaction size vs. $50–$150+ in card fees. Stripe, Helcim, and Square all support ACH bank transfers. Stripe charges 0.8% capped at $5 for ACH debit. Helcim charges 0.5% + $0.25 per ACH transfer, capped at $6. Make ACH the default on invoices with cards as the convenience option — and price accordingly.
Card-not-present rates hit contractors hard
Most contractor payments are keyed-in or processed via payment link — card-not-present (CNP) transactions — which carry higher interchange than card-present swipes. Keyed transactions can trigger rates of 1.8–2.6% interchange alone, before any markup. Interchange-plus pricing means you're paying actual interchange + a fixed markup; flat-rate processors average this but often over-charge on large CNP payments. Payment links and invoicing must be professional
Clients who receive a generic 'pay here' link are more likely to delay payment or call to verify legitimacy. Deposits protect cash flow — charge them at time of booking
A 20–30% deposit charged at contract signing is standard practice and dramatically reduces the collection risk on large projects. Process this deposit via card when you have the client's attention — at the estimate signing, not days later when you send an invoice. Square and Stripe both support deposit-style partial invoices. Make sure your deposit policy is in writing and your cancellation terms are clear to reduce chargeback exposure.
